Terms and conditions
Please read before booking – payment of your 30% deposit acts as understanding and acceptance of the below information and enters the customer into the hire agreement.
Booking deposit
Upon receiving the invoice a 30% non-refundable deposit is due to secure your date with Forget Me Nots. This is not refundable under any circumstances and is used to cover any costs incurred for admin, time or materials ordered relating to your booking.
Cancelling your booking.
If you wish to cancel your booking please let Forget Me Nots know immediately and if cancellation is within 3 months of your event date a further 20% is due.
If your cancellation is within 4 weeks of your booking then full payment is due.
We do understand that there is sometimes extreme events outside your control that can lead to cancellation and we always try and use our discretion to move or postpone your event where we can.
Notice of any cancellations or postponement needs to be given in writing.
Changing your items you have booked
When changing the items you have booked after paying your holding deposit you have 2 options.
You can either lose the 30% deposit you have paid for this item and then rebook the item you would like.
You can swap the item over for another item or items of equivalent value. **Please see section minimum spend**
Booking form
Once you have paid your deposit and booked your items in you will be sent a booking form – it is your responsibility to fill in this form correctly with dates, venues and any instructions for us to use.
Set up
Once Forget Me Nots have set up hire items these are to remain in the same position (unless prior agreement has been made) and not to be moved under any circumstances. Failure to comply with this may cause damage to the items or make them unsafe.
Items you wish to be outdoors needs to be agreed in advance and this is weather dependent. If bad weather is forecast on the day of the event alternative arraignments needs to be agreed or the item needs to remain under a shelter for the duration of the event.
Please note any items placed outside need to be set up and collected on the day and cannot be left out overnight.
All items will be set up by Forget Me Nots ensuring they are safe and secure. All our flower walls are fully weighted down and our large letters have plates on the bottom to ensure stability. Forget Me Nots takes no liability for any injury/damage or loss in the respect of this hire agreement. The customer must satisfy themselves of the suitability/condition of the equipment upon receipt.
Please note that any bookings that are upstairs and have large or heavy items on the order lift access will be required or Forget Me Nots needs to be made aware in advance to ensure other arrangements can be made, failure to comply may result in Forget Me Nots only being able to drop the items at the ground level to avoid incident or injury or additional set up costs may be applied if extra staff are needed.
Minimum Spend
Forget Me Nots has an minimum spend in peak periods for any orders outside a 15 mile radius of Horsham of £400.00 – this will be at Forget Me Nots discretion which times and dates this applies. You will be made aware of this upon booking and dry hire might be suggested **Please see section changing your order**
If you choose to cancel items off your order Forget Me Nots reserves the right to change your order to dry hire only if your order then falls below our minimum spend threshold.
Venue access and setting up
When completing your booking form and having your final meeting a drop off and collection date and time will be agreed with you in advance. It is your responsibility to agree this with the venue unless otherwise agreed with Forget Me Nots – If Forget Me Nots cannot gain access at the agreed times items may have to be dropped in the available space or if collecting you will be liable to pay another travel fee or drop items back to us.
Forget Me Nots will agree with you in advance a set up location – this is your and your venues responsibility to ensure this space is available and clear ready for the agreed time. Forget Me Nots reserves the right to set up in as close proximity as possible to the agreed space if this is the only option available.
When setting up chair décor it is your and your venues responsibility to ensure all the chairs are set up in advance – if Forget Me Nots needs to set up any chairs you may be liable for a cost incurred for additional time spent setting up.
Collection
When completing your booking form and having your final meeting a drop off and collection date and time will be agreed with you in advance. It is your responsibility to agree this with the venue unless otherwise agreed with Forget Me Nots – If Forget Me Nots cannot gain access at the agreed times items may have to be dropped in the available space or if collecting you will be liable to pay another travel fee or drop items back to us.
When collecting the items need to be in the agreed collection location or otherwise communicated to Forget Me Nots. Any items that cannot be located on collection need to be returned to Forget Me Nots within 48 hours otherwise they will be classed as lost and you will be invoiced for a replacement item,
With outside garden games these need to be available for collection – due to the nature of some venues we may be collecting at night – We will only spend a maximum of 10 minutes searching for these.
Dry Hire
Dry hire products need to be collected at the time and date agreed with Forget Me Nots – failure to attend your appointment at the agreed time may result in Extra charges if staff have to stay later or drop items to you.
Items need to be dropped back when agreed otherwise extra charges WILL apply and any loss of earnings will be charged through other bookings being compromised.
Dry hire products will come with instructions where appropriate and it is your responsibility to set items up correctly to avoid damage. Dry hire products are also your responsibly with regards to adverse weather conditions and any damage or loss of products will be charged. Please see below for more info.
Damage or loss to products
Forget me nots reserve the right to charge for any damage cause during your event of hired items dependent on the extent to the damage. In the result of total loss of our goods or them being deemed as unusable for future events you will be invoiced for the total amount of items. If the item is out on hire the next day you may also be liable for loss of earnings.
